Most lost deals are not lost on price. They are lost because nobody followed up. That is what ProContact's reminders are for.
Create a reminder
A reminder is always attached to an appointment. From the appointment, or from Reminders → New reminder, fill in:
- the reminder date;
- the frequency;
- the recipient;
- optionally, addresses in copy.
Choosing a frequency

Start with "once". Recurring reminders are useful, but a reminder you ignore every day teaches you to ignore all reminders.
Choosing the recipient
- User — the reminder is for you only. Ideal for preparing a file before a deadline.
- Client — the client is notified directly. Useful for cutting no-shows.
- Both — you and the client get the same message.
Addresses in copy
The CC emails field accepts several addresses separated by commas. Each is validated before saving: a malformed address is rejected as you type rather than failing the send later.
This is the field for keeping a third party informed — a partner, an assistant, a main contractor — without giving them access to your account.
Three reminders that pay for themselves
- Day 2 after a quote goes out, recipient "User". You call while it is still warm.
- Day −1 before an appointment, recipient "Client". No-show rates drop immediately.
- Day 30 after a completed job, recipient "User". This is the message that turns into a servicing contract.
How sending works
Scheduled reminders are processed by the application's queue. In production a worker must run continuously for sends to leave on time; that is a server configuration point, not an in-app setting.
