A note answers the question everyone asks six months later: "what exactly did we agree?"
Create a note
From Notes → New note, or directly from an appointment. A note carries:
- a title;
- a comment — the content;
- a priority;
- a link to an appointment, an activity or a contact;
- a shared with client flag.
Sharing with the client
This is what separates a note from a sticky note. A note marked as shared becomes visible to the client in their portal. An unshared note stays strictly private.
Use sharing for:
- the write-up of a visit, which the client can read back before approving;
- the list of things you are waiting on from them;
- terms agreed verbally, written down in black and white the same day.
That last one settles most disputes before they exist.
Sharing can be switched off and back on at any time from the note.
Clients can write too
From their portal, a client can add their own notes on an appointment, edit them and delete them. They never see your private notes, and you see theirs in the appointment's thread.
In practice: the client sends you their measurements, their references, their scheduling constraints — without an email thread to piece back together.
Note templates
The portal offers note templates that clients reuse from one appointment to the next. For recurring follow-up — readings, symptoms, progress — it saves retyping everything each time.
Finding a note
The notes manager offers full-text search, a filter on sharing (shared / private) and a filter by appointment, plus sorting by date or priority.
Good practice
Write the note within ten minutes of the conversation, not in the evening. Three lines written straight away beat a full write-up that never gets done.
